Instead of billing in advance on the traditional way, e-invoicing (electronic invoicing) is a modern way to secure you get your payment. It is an electronic transfer of billing and payment information via internet or mobile phone net, between your accommodation and your future guests. So between parties involved in a commercial transactions.
E-invoices have especially for bigger accommodations and co-operating small accommodations, big advantages. The potential guests are reached faster, it is easier to process and saves your client and yourself time. Beside of that all electronic information about payments and accounting are placed directly in the IT bookkeeping system of the accommodation. It is also nice that printing and postage costs are reduced. Less paper is also good for the environment.
The cost however for small accommodations are high if they do not co-operate with other small companies in a central booking system. You have integrate the paying system in the accommodation‘s web-side with a safe and controlled area where the potential guest can handle their transfers by credit card or (electronic) bank transfer. If you do not have such a special safe area for transactions there is the possibility of fraud and misunderstandings.
A more common obstacle for electronic invoicing is that there are different systems on the market. This can hinders transfers from one to another country especially if it is outside the EU area.
If you want to use e-invoicing for your accommodation it is wise to out-source the developing of it if you are not a software specialist. Probably the best way is to co-operate with other small companies and have a common system which can be controlled by a supervising organization.
Another possibility is to negotiate with internet accommodation providers like Booking.com for example.
